You will also receive the on demand recording of today's webinar via email within twenty four hours after the webinar ends. So with that, let's go ahead and get started. Today's topic is Ask Della in Action, instant answers for quality teams. In this session, we will be looking at one of tips newest features introduced in version 10 dot 20. This feature represents a significant step forward in how quality teams and other users can interact with their documentation, and we're excited to walk you through everything that it has to offer. To give you a road map for today's presentation, we're going to structure our conversation in four main parts. We'll start with a high level overview of what Dela actually is and the role it plays within the broader Deltek ecosystem. From there, we'll transition into a practical walk through of how to navigate the AI assistance interface and make use of its various buttons and features. Once we've covered the basic mechanics, we'll dive deeper into the more technical side of things, specifically the configuration parameters you'll need to be aware of when setting Della up in your own environment. Finally, we'll wrap everything up with a live demonstration that shows Della in action so you can see firsthand how it performs in a real world scenario. Della is Deltek's proprietary AI assistant, designed to help users quickly and efficiently find the information they need without having to manually dig through systems and folders. If you're already a user of other Deltek prop... Products such as Costpoint, you may already be familiar with Dela since it has been in... Integrated into that platform as well. What's notable here is that TIP is the next product in Deltek Suite to incorporate Dell into the overall experience. This marks an important expansion of Dell's reach and reinforces Delltech's broader strategy of embedding intelligent assistance across its entire product line. One of the best things about Della is how easy it is to access. Getting started doesn't just... Doesn't require a ton of complicated steps. All a user needs to do is click the Della button, which is conveniently located in the top right corner of the screen. What makes this especially convenient is the button isn't limited to a single page or module within TIP. Instead, it can be accessed from virtually anywhere in the software, not just the home page. This means that no matter where a user currently is in their workflow, whether they're deep into a specific module or just getting started, they can pull Della up instantly. This kind of persistent accessibility is intentionally designed to streamline the user experience and allow people to get the answers they need without breaking their workflow or losing their place. Here, we're highlighting the Della button itself so you can see exactly what to look for. Clicking on this icon is what triggers the assistant to open and become accessible to the user. As mentioned in the previous slide, it's worth reiterating that this is a static button, meaning it doesn't disappear or need to be relocated. It will consistently follow the user as they navigate between different areas of the modules in the software, ensuring that help is always just a single click away regardless of where they are working within the software. When a user clicks on the Della button, the assistant interface will open up and present itself on the screen. At this point, users are given a text field where they can type in their own custom prompt or question. However, Dell doesn't just leave users guessing about how to phrase their inquiries. It also comes preloaded with a set of suggestion questions. These questions are especially helpful for new users as they provide a sense of direction and help frame what kind of questions Stella is best equipped to answer, making the onboarding experience smoother and less intimidating. Now that we've covered how to open the assistant, this next section is going to go into much greater detail about how to actually navigate within the Dela interface itself. We'll be breaking down each of the different buttons and icons you'll encounter, explaining what each one does and how it contributes to the overall user experience. At the very bottom of the Della interface, you'll find the ask Della text field. This is the primary and most important point of interaction between the user and the assistant. It's where users will type their actual questions or requests. Essentially, this text field serves as the main communication channel for which all of Delos capabilities are accessed, so it's worth getting comfortable using it effectively. Near the top of Delos interface, there's an icon that looks like a pencil and a notepad. When a user clicks on this icon, the system will prompt them with a confirmation asking whether they'd like to clear their existing chat history. If the user confirms and chooses to clear out the chat, all of the current prompts and responses in that session will be removed entirely, and the conversation will reset back to its original starting point. Meaning the user will once again see the initial prompt along with the example inquiries that were there when they first opened Della. This feature is useful for starting fresh, especially if a conversation has become cluttered or the user wants to begin a new line of questioning without any prior context carrying over. In the top right hand corner of the Dell interface, you'll notice a question mark button. Clicking on this button will take users directly to an instructions and help menu, which is specifically designed to support users who may need additional guidance on how to interact with the assistant effectively. Once inside the help menu, users will find a detailed guide that walks them through a number of best practices for using Della, along with helpful tips and strategies for refining the way they phrase their questions. Beyond just offering tips, this guide also plays an important role in setting realistic expectations. It clearly outlines the current capabilities and limitations of the assistant so users have an accurate understanding of what Della can and cannot do. Because of how useful this information is to regular operation, it's strongly recommended that all users take the time to review this help guide before diving into their first interactions with Della. Doing so will give them a much clearer and more confident understanding of how to get the most value out of the assistant from the very beginning. In quick summary, you need to be specific with your questions, provide relevant context as needed, use familiar documentation terminology, confirm your results for critical decisions, review the source citations that Delo provides, and make sure that you have the document scope for items and tip turned on effectively. At the top of the Della assistant interface, there's also a disclaimer button that users can select whenever they want to review important legal and usage information. When a user selects the disclaimer, it provides additional and important context of what Della is capable of as well as outlining certain responsibilities that fall on the user when interacting with the assistant. One particularly important detail that's called out in this disclaimer is the fact that Della is only able to access documents within the document management module. And even then, only to the extent allowed by the current security settings and permissions already in place. This is a crucial point as it reassures users that Della respects existing access controls and won't surface documents that a user wouldn't otherwise be permitted to view. It is important to note that it also references the fact that Dela will only access documents in the document management system based on current security and permissions. The final button we'll cover in this section is the close button. Once finished... Once you're finished interacting with Della and no longer need the assistant actively open, clicking this button will simply hide the Adela interface from view, tucking it away until you reopen it by clicking the Adela button at the top of the screen. Having covered the basics of navigation and the various buttons within Della, this next section is going to shift focus toward the setup parameters that administrators and users need to be aware of when configuring Della for their own environment. Before Della can be used effectively, there are a few important prerequisites that need to be in place. First and foremost, Della is restricted to only searching through documents that are stored within your organization's document management module. And this module itself must be properly licensed and enabled in order for this functionality to work. Additionally, Della itself must be explicitly enabled during the install... Initial installation process. It isn't something that's automatically turned on by default. On a more technical note, it's also required that Python 3.1 o or a later version be installed on the TIP server for Della to function correctly. Finally, for those looking to configure these settings, the main connection point and parameter configuration page can be found by navigating to access control, then global product parameters, and finally to the specific Dela tab. To begin the configuration process, users will need to select the global product parameters from within the access control area of the system. From there, navigation is quick and straightforward. Users can easily find and click into the Dela tab. Over the course of the next several slides, we're gonna walk through document and indexing configuration options available within this tab in much greater detail. One of the very first configuration parameters that needs to be set up involves determining what time range of documentation you want DELLA to index. There are a few different options available for you to choose from. You can choose to index all historical and future documents together. You can set a specified date from which indexing should begin. Or you can limit the scope so that Della only indexes new documents moving forward. Of these options, indexing all historical and future documents is by far the broadest choice available. That said, it's important not to worry that selecting this option will cause an overwhelming immediate indexing of every single document in your system. In reality, there are a couple other additional configuration options, which we'll cover shortly, that further narrow down and control exactly what gets indexed. Essentially, choosing this broad option is simply stating your intent that going forward, all applicable future and historical documents should eventually be eligible for indexing. In addition to setting the time range, administrators must also specify exactly which types of documents they want Della to process. The available options currently include word processor documents, PDFs, spreadsheets, presentations, and images. It's important to note that this represents the current and complete list of document types that are available for indexing at this time. Any documents that fall outside of these specified categories will not be indexed by Della. So it's worth keeping this limitation in mind when planning your document management strategy. The last major step in finalizing your indexing parameters takes place within the document management module itself, specifically under the DM type setup area. There's an integration tab where you'll find an option labeled include documents in Della search. This setting needs to be enabled for any document type whose documents you want to be included in Della's indexing and search results. This is... This step is particularly valid... Valuable because it gives administrators granular type by type control over exactly what content gets sent to Della for indexing. This is especially important in cases where an organization has sensitive documentation that they specifically do not want surface or included as part of Della's search results. To begin this part of the configuration, the first step is to navigate to the DM type setup parameter page within the system. From there, you'll want to go to the specific DM type you're interested in configuring. In the example used for this demonstration, we use standard operating procedures as the document type. Once inside that document's type settings, navigate to that integration tab and select the option to include documents in Della's search result highlighted down below. It's worth noting that this configuration step isn't limited to newly created document types. It will be applied retroactively to document types that already exist within your system, giving administrators flexibility to adjust these settings at any point. With the setup and configuration details now thoroughly covered, this next section of the presentation is going to shift its focus towards actually using Della in a practical day to day context. As it currently stands, Della's functionality is bounded specifically to returning documentation that lives within the document management module. When a user submits a question or inquiry, Della will respond by surfacing relevant documentation and providing direct links to that documentation so users can access it easily. One particularly convenient feature here is that users have the ability to download documents directly from within the assistant itself, which significantly reduces the need for users to perform unnecessary separate queries within the document management module on their own. Taken together, this capability represents a meaningful increase in efficiency and serves as a genuine quality of life improvement for anyone who regularly works with documents as part of their role. To wrap up the presentation, I'll be walking through a live demo where I ask Della a series of questions. You'll see Della surface the relevant required documentation in response to each query complete with helpful snippets pulled directly from the document. So you can see once you answer enter the question, Della will think for a second before returning that snippet along with a direct source to wherever that documentation lives. You can ask multiple questions in a row, and Endela will be able to handle all of that information and bring you the right the right document at the right time. Once you've entered in the questions that you need to enter, you also have the ability to click those links and download copies of that documentation directly to your computer. Della is a quick, easy, efficient way to interact with the document management platform as showcased here, allowing users to ask questions exactly where they need to be. You could be on a work order. You could be in a nonconformance, and you could ask questions about a specific process and download the documentation exactly at the at the exact point you need it to be at. And greatly increase efficiency and make it easier for regular day to day use. At this time, we are going to conduct a quick audience poll and then open the floor to questions. If you haven't already submitted a question, please enter it in the q and a tab now. K. So our first question for today is document limitations of Della. What can it read? Can it create documents? Okay. Well, as, Will covered there, you know, we can, or Della can read various different, word document or word processing documents, text files, spreadsheet types, images, you know, that can be, OCR'd and, various ones like that. Okay. Got another question here. How do you track multiple serial numbers within a single nonconformance in regards to reporting options? Interesting question. This really isn't part of the Dela discussion here, but, you know, we'll say that traceability is inherent to the entire tip suite, especially like in nonconformance and many other modules. You know? So, let's talk about it in one of those a little bit more detail. Okay. Can I see documents in Della that haven't been indexed? No. You know, it won't tell you which ones haven't been indexed, but bay... Based on your setups, you know, you can go and see which ones are included within the setup and then, determine where you're at within the indexing and and processing and everything. Okay. How should I phrase my questions to get better results? Well, I say really here, it's kinda like anything else, just like a Internet search or discussion with a professor or just when you're talking to friends and such. You know? The the more detailed you ask your question, the better it will respond to you. Okay. That makes sense. Is Della included in existing licensing, or does it cost extra? So this this one's interesting, you know, because you do get Della. It will be there, but in order to use Della and get the use out of it, you have to have the document management module. So if you don't have the module, having Della doesn't help you. Okay. Important to note. Excellent. Can Della access NCR and RCCA or supplier management? So in this current phase of implementation and usage of Dela, no. It is only limited to the DM module right now. Okay. Another question here. We do not have the document control module. We use a different document control. Can we still... Do we still need... Or can we still use Stella? And, again, no. Because, Della is limited to the TIP DM module, we're not, allowing it to reach out to other systems and such right now. So it would only look within the TIP DM module. Okay. Okay. It looks like there are no more questions on the queue at this time, so we'll go ahead and close out the q and a portion of the webinar. But before we officially conclude, we want to remind you, you will receive an on demand recording of today's webinar via email within twenty four hours. And if we are not able to get to your question today, we will be sure to follow-up with you directly offline. And with that, I'd like to thank you for joining us today.
